POSITION TITLE: Finance Controller                   

Immediate Superior: General Manager

In his absence:  Appointed Deputy at the time.

This Job Description reflects the general details considered necessary to describe the principal functions of the job

identified and shall not be construed as a detailed description of all the work requirements that may be inherent in the job.

Main Functions

  • Oversee all financial aspects of the organization, including financial reporting, budgeting,

forecasting, and cash management.

  • Ensure compliance with accounting standards, financial regulations, and internal controls.
  • Provide financial insights and analysis to support strategic decision-making.
  • Manage the annual budgeting process and monitor performance against budget.
  • Develop and maintain effective internal controls to safeguard company assets.
  • Coordinate with external auditors during annual audits and tax filings.
  • Optimize cash flow and working capital to support business operations.
  • Collaborate with executive management to develop and execute financial strategies aligned

with organizational goals.

  • Lead and develop a team of finance professionals, providing guidance, mentorship, and

training as needed.

Key Result Areas (Responsibilities)

  1. Financial Reporting: Prepare timely and accurate financial statements, including income statements, balance sheets, cash flow statements, and other financial reports. Ensure completeness in MSD & SMART system. Ensure compliance with accounting standards and regulatory requirements.
  2. Budgeting and Forecasting: Develop and manage the annual budgeting process. Work closely with department heads to establish budgetary goals and monitor performance against budget. Provide insightful analysis and forecasts to support decision-making.
  3. Financial Analysis: Conduct comprehensive financial analysis and review to identify trends, variances, and opportunities for improvement. Provide recommendations to management based on analysis of financial data. Circulate profitability reports and departmental performance to various departmental heads.
  4. Completeness of posting: Ensure accuracy and completeness on Journals entries and transactions to MSD and other source systems
  5. Internal Controls: Establish and maintain effective internal controls to safeguard company assets and ensure the integrity of financial information. Continuously assess and enhance control procedures to mitigate financial risks.
  6. Cash Management: Monitor cash flow, liquidity, and working capital requirements. Develop strategies to optimize cash resources and minimize financing costs.
  7. Tax Compliance: Ensure compliance with all tax laws and regulations. Coordinate with external tax advisors to prepare and file tax returns accurately and on time.
  8. Audit Coordination: Serve as the primary point of contact for external auditors during annual audits. Provide support and documentation as needed to facilitate the audit process and ensure timely completion.
  9. Financial Strategy: Collaborate with executive management to develop and execute financial strategies aligned with the company’s objectives. Provide financial insights and recommendations to support strategic decision-making.
  10. Approvals – Approval of various transaction as per Chart of Authority: Invoices, Journals, operate bank accounts & credit control as assigned.
  11. Accuracy of Transactions: Ensure that invoices for goods delivered to customers, credit notes, and debit notes are posted and reconciled in MSD on a daily basis. All invoices booked should have confirmation from customer as proof of delivery.
  • Ensure stores sales, Banking and expenses are properly and timely posted in MSD.
  • Ensure Inventory and good on transit, Obsolescence reserve are accurate and a reconciliation

between physical & ledgers.

  • Ensure Turnover reconciliation on monthly basis in MSD and EFRIS system and no

deviations.

  • Ensure Cost of sales and Capitalized stock in accurately posted in MSD.
  • Ensure Bank accounts, Money on Way accounts, Loan accounts, petty cash and bank ledgers

are accurate, posted and reconciled in MSD.

  • Ensure all suspense account are supported.
  • Ensure all provision & accrual ledgers are supported.
  • Ensure payroll inputs (Commission inputs) are accurate and posted in MSD.
  • Ensure FIXED asset register in accurate.
  1. Team Leadership: Manage and develop a team of finance professionals. Provide guidance,

mentorship, and training to foster a high-performing finance department.

  1. Any other task as Maybe allocated or required by the immediate supervisor and profitable

to the company.

Finance Controller – Requirements 

  1. Finance Degree in BCOM, BBA (A), BSA, Fin related Course.
  2. 4 Years’ Experience; 2 of which as a Team Leader
  3. CPA Level III.
  4. Knowledge of Microsoft Dynamics (MSD) will be added advantage
  5. Expertise in Financial Planning in MNCs.

MANAGEMENT TOOLS (WORKING TOOLS)

  1. Chart of Authorities.
  2. MSD standard operation procedures (SOP).
  3. Credit policy and procedures.
  4. POSWORX, Coins and MSD Information Systems.
  5. Income Tax Act & the VAT Act including various amendments.
  6. Bata accounting Guide and TACs.
  7. US GAAP & IFRS (International Accounting Standards)
